Process digitalization

The word is used so widely that it no longer means anything. To us it means one specific thing: we find the work someone in your company does by hand every day, and we replace it — if that's worth doing.

Where it hides

Where the manual work usually is.

It's rarely visible, because it's spread thinly across many people. That's why the first step is to measure it, not to guess.

Copying between systemsData from an email into a spreadsheet, from the spreadsheet into a program, from one program into another.
Requests by emailCustomers or colleagues send free text, and someone turns it into structured information.
Spreadsheets as a systemAn Excel file that has become the backbone of a process, but nobody knows which version is the latest.
Manual reportsOnce a month someone gathers numbers from three places to make a report that one person then reads.
Documents by handQuotes, contracts and invoices filled in from a template by copying and correcting.
ChecksComparing two lists to catch the differences. Exactly the work computers were made for.
NotificationsSomeone watches whether something has happened and, if it has, writes to someone else.
The archiveFiles named from memory, in folders you search with hope.

How it goes

From observation to a solution.

Digitalization fails when it starts with buying a system. So we start from the other end.

01

Observation

We sit down with the people who do the work and watch what they really do — not what the job description says.

02

Measurement

How many hours go into what. Without numbers, you can't tell what's worth automating.

03

Priority

What takes the most time and repeats most often. Usually two or three things deliver most of the gain.

04

Decision

An off-the-shelf product, a small automation or a custom system. In that order, by price.

05

Roll-out

In stages, with training. A system people work around is worse than no system at all.

06

Check

Measuring again after a few months. If the hours haven't gone down, something's wrong and gets corrected.

Where should I start?

With measuring. Pick one process you suspect eats time, and for a week write down how many hours go into it and on what.

The result is almost always surprising — and without it, every decision is a guess.

How much does it cost?

The analysis is quoted separately and is a small part of the cost. The solution — depending on what the analysis shows.

Sometimes the conclusion is that an off-the-shelf product costing a few euros a month does the job. Then we say so instead of selling development.

Will I have to let people go afterwards?

Usually not — people start doing work a computer can't, instead of retyping. But that's your decision, not ours.

What matters is that the team takes part in the process. If a system is imposed from above, people work around it.

Is there EU funding for this?

From time to time there are programmes for digitalizing small and medium-sized businesses. We aren't grant consultants and don't give advice on application procedures.

We can contribute the technical part and a description of the solution if you apply.

How long does it take?

The analysis — usually weeks. The roll-out — depending on the solution, in stages. We don't recommend projects where the first result shows up after six months.

Next step

Which work is eating your time?

Describe one thing someone in your company does by hand every day. That's where the conversation starts.
